Live workshop · Tuesday, December 8

A second brain for your business. Built live and running by the time we hang up.

I run my consulting practice on a plain folder of text files and a handful of scheduled tasks. Meeting notes land in it on their own. Every morning it hands me a briefing. Every evening it asks me four questions and closes the loop. When client work eats the week, it is the thing that pulls me back to my own business. In two hours you build the same system on yours with me beside you the whole way.

Who this is for

Fractional executives, consultants, and owner-operators who run the whole business themselves. You have clients, a calendar, a CRM you half trust, and a running list in your head of things you promised people. You have tried AI for writing and research. What you do not have is a system that remembers everything for you and nudges you before something slips. We get so busy taking care of customers that we forget the business of running the business. The pricing you have not raised. The offer that lives only in your head. The pipeline nobody is feeding. This brain keeps those in front of you and asks about them on a schedule.

You do not need to be technical. You need to be willing to install two free programs, type a few things, and let me walk you through the rest. If you can set up a new laptop, you can do this.

What lands in your inbox at 7:30am

One of mine from this fall, names changed. Yours reads your calendar, your task list and your notes the same way.

Morning briefTuesday · 7:30am

Today

  • 9:00 Kickoff with Northwind. Their pre-work is in; the three friction points are on their page.
  • 11:00 Coffee with a Pavilion member who asked about fractional work. No prep needed.
  • 2:00 Panel prep call. Your two talking points from last week are in the meeting note.

You owe people

  • Proposal to Harbor Labs. Promised Friday, now three days late.
  • October invoice for Northwind. Work is delivered; invoice not sent.
  • Testimonial ask from the September workshop. Open 41 days.

About the business

Your rate card still shows the old hourly. You quoted the new rate on two calls this month. Update the page today or stop quoting it. Also: energy has read 2 or 3 for five check-ins in a row. Friday’s tidy will ask what to drop.

A day with your brain

  • 7:30am The brief lands. Calendar, what you owe, what is overdue, one nudge about the business.
  • 10:52am A client call ends. The notes file themselves onto that client’s page with the follow-ups pulled out.
  • 5:00pm Four questions. Energy, one win, one friction point, one thing to let go of. Two minutes.
  • Friday The tidy runs. Stale pages, unsent invoices, promises with no date get flagged.
  • Monthly The strategist prompt asks the three questions a good board member would and makes you answer.

What is in the folder

This is the actual layout of mine. Plain folders and text files. Nothing locked in a vendor’s database.

Identity/ who you are, who you serve, what you charge, how you write
Offers/ what you sell and the price, one page each
Clients/ one page per client, status and next step at the top
Prospects/ who you are talking to and where it stands
People/ the humans, how you met, what you owe each other
Meetings/ notes arrive here on their own and get filed up
Daily/ the morning brief and the evening check-in, one file a day
_Co-CEO/ open threads, decisions, wins log. The business of the business.

What you leave with

A brain that lives on your computer

Plain text files in Obsidian, which is free and local. It works with Claude, with ChatGPT, and with a model running on your own machine. If you change tools next year, your brain comes with you.

An identity file that makes every AI answer sound like you

Who you are, who you serve, what you charge, what you will not do, and how you write. Every task reads it first. You write it once in the session and stop re-explaining yourself to a chatbot.

A morning brief and an end-of-day check-in scheduled and running

Each morning: what is on the calendar, what you owe people, what is overdue. Each evening: your energy, one win, one friction point, one thing to let go of. Mine caught ten straight days of low energy before I noticed. Both tasks will be live before you leave the session.

Meeting notes that file themselves

If you use Granola, Zoom, or another note-taker, we connect it so every call lands on the right client page with the follow-ups pulled out. No more Sunday night archaeology.

A weekly and monthly rhythm for working on the business

A Friday tidy that flags stale pages and a monthly strategist prompt that asks the questions a good board member would. You get the prompts I use.

HubSpot, connected

The free tier is enough. Your brain reads your pipeline and your contacts and the people you meet stop living only in your inbox. We set this up in the office hour so the live session stays focused on the core.

How the session runs

1. Two hours live, hands on keyboard

I teach for a few minutes, you build for longer, we check in. Twelve people, so nobody falls behind quietly. We pair up for the fiddly parts. By the end the morning brief has already run once.

2. An office hour the following week

Week two is where systems live or die. The sync breaks, the brief stops reading right, you want to add something. Bring it. This hour is included and it is where the HubSpot connection and your note-taker get wired in.

3. The recording and the kit

You get the session recording and a kit page with every prompt and file from the build, with copy buttons, so you can rebuild any piece later or help a colleague set up theirs.

Is this the right room for you?

Come if

  • You run your own practice and the calendar runs you.
  • You have used AI for writing and research and want it to remember things.
  • You keep pushing your own business to next week: pricing, the offer, the pipeline.
  • You can install two free programs and give me two hours with notifications off.

Skip it if

  • You want a shared brain for a team or department. That is Crys Clear AI for GTM.
  • You want someone to build and run it for you. That is coaching and I am glad to talk about it.
  • You are looking for a chatbot that writes your LinkedIn posts.
  • You cannot make the live session and will not watch the recording.

Before you arrive

About a week before the session I send a short checklist. It takes twenty minutes and it is the difference between building during the session and installing during the session.

  • A Claude subscription (Pro is enough) with the desktop app installed. I teach in Claude because its scheduled tasks and file access are the best fit for this. If you are on ChatGPT, you can still come; the brain itself works with both and I will show you where the setup differs.
  • Obsidian installed. Free, five minutes.
  • One business problem you keep pushing to next week. We use it as the example during the build.
  • Two hours with notifications off. This is a working session.

Straight answers

What if I cannot make it live?

Watch the recording, build along at your own pace, and bring your questions to the office hour. The live session is better, because I can see your screen when something goes sideways but the recording plus the office hour gets most people there.

Mac or Windows?

Either. I build on Windows. Everything in the session runs on both.

Is my client data safe?

The files live on your computer. What the AI reads is up to you and we talk about what to keep out of it, including a local model option for the sensitive stuff. You decide where the line is for your clients.

Can I bring my team?

One seat is one person and one brain. If you want a shared brain for a team or a department, that is the Crys Clear AI for GTM program and it is built differently on purpose.

What if I need to cancel?

Full refund up to seven days before the session. Inside seven days, your seat moves to the next cohort.

Can’t make December 8?

Put your name here. Seats sometimes open up inside the last week and the next date is announced to this list before it goes anywhere else. No newsletter, no drip. One email when there is a seat or a date.

Tuesday, December 8. Twelve seats.
Operationalize what you already know, take the risk out of running a business of one, and leave with the system built and running.
